We respect your privacy and handle personal data in line with the General Data Protection Regulation (GDPR). This Privacy Policy explains how we collect, use and protect your information when you visit the Civic AF* website or apply to join the programme.

Data we collect
When you apply to Civic AF* or contact us, we collect the information you provide, such as your name, age, country of residence, email address, phone number and motivation for applying.
When you browse the website, we collect technical information through cookies and analytics, such as IP address, browser type, device, pages visited and timestamps.
If you interact with embedded third-party content (for example YouTube, Vimeo, Instagram or TikTok), those services may collect additional data in line with their own policies.
We do not intentionally collect data from anyone under 18.
How we use your data
We use your personal data to process and evaluate applications, communicate with you, organise and deliver programme activities, operate and secure the website, and improve our communications. We also create anonymised, aggregated statistics for internal evaluation and for reporting to funders, including the Nordic Council of Ministers. We do not sell your data or use it for commercial advertising.
Legal basis
We process personal data on the following bases: your consent (for example when you apply, contact us or accept cookies), performance of a contract (when delivering programme activities to selected participants), and legitimate interests (reporting, evaluation, security and improvement of the website and communications). You may withdraw consent at any time. Withdrawal may affect your ability to participate in certain activities.
Data sharing and processors
We share personal data only when necessary for the purposes above: with programme partners for delivery of activities; with service providers such as website hosting, analytics and application forms (for example Microsoft Forms); and with funders in anonymised and aggregated form for accountability. Service providers act under data-processing agreements. Some providers may store or access data outside the EU/EEA. Where this occurs, we rely on appropriate safeguards, such as Standard Contractual Clauses.
Data retention
We store personal data securely and keep it only as long as needed to run the programme and for follow-up, usually no longer than two years after the project ends. After that, data is deleted or anonymised. Anonymised statistics and reports may be retained for a longer period.
Your rights
You have the right to request access to your personal data, to ask for correction of inaccurate data, to request deletion, to restrict or object to processing in certain cases, and to withdraw consent at any time. You also have the right to lodge a complaint with your national data protection authority.
